The Role:
We are searching for an Executive Personal Assistant to support our leadership team at Collars. This role is ideal for someone who is highly organized, adaptable, and thrives in a fast-paced, purpose-driven environment. As an Executive Personal Assistant, you’ll play a pivotal role in ensuring the smooth operation of our leadership team, helping to drive our mission to connect communities and improve pet care solutions worldwide.
What We Are Looking For:
2+ years of experience as a personal or executive assistant, preferably in a startup or dynamic, fast-paced environment.
Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
Strong communication skills, both written and verbal, with a professional and approachable demeanor.
Proficiency in using tools such as Google Workspace, Microsoft Office, and task management platforms (e.g., Trello, Asana, or Notion).
A proactive, resourceful, and problem-solving mindset.
Discretion and the ability to handle sensitive and confidential information with integrity.
Upper-intermediate English level; additional languages are a plus.
Nice-to-Have:
Experience in supporting remote or hybrid teams.
Interest or background in the pet care or community-building sectors.
Experience in event planning or coordinating projects with multiple stakeholders.
Responsibilities:
Provide high-level administrative support to executives, including calendar management, meeting coordination, and travel arrangements.
Act as a liaison between executives and internal/external stakeholders, ensuring clear communication and timely follow-ups.
Assist in preparing reports, presentations, and correspondence for meetings and events.
Manage and prioritize incoming communications, including emails, calls, and requests, ensuring nothing slips through the cracks.
Support in planning and coordinating events, meetings, and team activities, both virtual and in-person.
Handle personal tasks and errands as needed to ensure executives can focus on strategic priorities.
Monitor and improve administrative processes to ensure the team runs efficiently.
